High School Band & Choir Tour Transportation Guide 2026: Florida, NYC, DC, Disney Group Bus Trips
Charter bus rentals for high school band and choir tours — Florida music festivals, NYC competitions, DC heritage tours, Disney performance trips. Instrument cargo, chaperone seating, school-budget pricing.
Music tours are charter coach work, not parent-rental work. 60 high schoolers with instruments, uniforms, chaperones, and a director need under-floor cargo (those tubas don't ride in the seats), federally-compliant driver hours for the overnight legs, restroom on the bus, and the kind of reliability where a missed festival slot doesn't ruin a year of practice. The guide below covers the trips we run most.
The 4 most-booked high school music tour destinations
1. Florida — Music In The Parks + Heritage Festival + Universal/Disney
Routes: Most groups originate East Coast / Midwest / South. Multi-day drives to Orlando, Tampa, or Daytona Beach.
Festivals: Music In The Parks (Universal Studios + SeaWorld Orlando), Heritage Festival, Festival Disney.
Itinerary: Typically 4–6 days. Travel day in, performance day(s), park days, travel day out.
Vehicle: 56-pax motor coach. Under-floor cargo for full marching band gear. If group exceeds 56, dispatch a 2-coach convoy.
Pricing: $16,000–$24,000 all-in for a 5-day round trip with 50 students + 8 chaperones from Pennsylvania / Ohio / NC.
2. New York City — Carnegie Hall, Lincoln Center, Festival of Gold
Routes: Coming from the South, Midwest, or further. NYC group bus parking is constrained — we use designated coach parking in NJ + NYC pickup/drop-off zones.
Itinerary: 3–5 days. Performance + Broadway show + tourist day.
Vehicle: 56-pax motor coach. NYC bus permits handled.
Pricing: $11,500–$16,500 all-in for a 4-day trip with 45 students + 6 chaperones.
3. Washington DC — Heritage Tours + National Cherry Blossom Festival Parade
Itinerary: 3–4 days. Spring trips often include the Cherry Blossom Festival parade slot (marching bands).
Vehicle: 56-pax motor coach. DC permits + Pentagon-area routing.
Pricing: $9,500–$13,500 all-in for a 3-day trip with 50 students + 7 chaperones.
4. Atlanta — WorldStrides, FestivalDisney qualifiers, regional choir festivals
Vehicle: 40- or 56-pax motor coach.
Pricing: $7,500–$11,000 for a 3-day trip with 45 students.
Instrument cargo capacity (the question every band director asks)
A 56-pax motor coach under-floor cargo bay holds:
- 50 personal bags + 12 large instrument cases (tubas, sousaphones, large percussion) + 30 medium cases (trombones, baritones, saxes), OR
- 50 personal bags + a full marching uniform load (50 garment bags, 50 shako boxes) + 6 large instrument cases
For full marching band trips with both instruments AND uniforms, we book a 2-coach convoy: one for students + light cargo, one for uniforms + heavy instruments.
Chaperone seating + supervision protocols
- Chaperones occupy seats at the front + back of the bus — line-of-sight for the entire student section
- 1 chaperone per 8 students is the standard ratio for most district policies
- Driver coordinates with the trip lead for restroom stops, overnight hotel arrivals, and any deviation
- Background-checked CDL drivers — we provide MVR + drug-test documentation to the school upon request
School-budget pricing notes
- All-in pricing includes driver lodging on overnight trips — no surprise hotel adds
- Many districts pay per-student via fundraising; we provide itemized invoices for 501(c)(3) booster club records
- 30% deposit secures the date; balance typically billed net-30 after trip return
- Most districts book 4–6 months ahead; spring festivals (April–May) need 6+ months
